Administrative Social Media Coordinator

Our fast-growing Real Estate office is searching for a detail-oriented, hardworking, creative, trustworthy, success-minded Administrative Social Media Coordinator. The ideal person is someone who cares about the quality of their work and enjoys working in a small office environment. The perfect team member will be able to work independently and/or collaboratively in a fast-paced environment. 

We are looking for an exceptional candidate who is willing to go “above and beyond”. The natural ability to organize and prioritize daily tasks with minimal direction is critical in this position. Excellent communication and client service skills are a must. We are seeking someone who adheres to the highest ethical standards, shows attention to detail, and has a professional manner.

Must be well organized, a self-starter, able to learn new technology easily, provide excellent customer service, have great phone skills and be able to multitask effectively.

Responsibilities:

  • Marketing on and monitoring of Social Media accounts
  • Creating and implementing social media campaigns and marketing materials.
  • Planning and executing a content calendar that meets the needs of our business goals
  • Collaborating with multiple people to implement their ideas and turn them into social media content strategies.
  • Identify the latest social media trends, hashtags, and topics of conversation
  • Act as a liaison between clients and agents and provide exceptional customer service.
  • Maintain client management software, ensure client information is up to date. 
  • Maintain email lists and tracking of client VIP program
  • Create, process and send marketing materials as directed
  • Manage day to day agent needs.
  • Use several software tools for project management and organization: Monday.com, KVCore, Google Apps, etc.
  • Be the first point of contact in handling customer inquiries and problem solving
  • Keep agents informed about challenges and issues that need to be handled
  • Continue to take day to day office tasks away from agent, organizing workflow and improve efficiency
  • Perform filing, copying, mailings, and other administrative duties such as answering phones, light office cleaning and generally supporting the team members with administrative tasks

Physical Requirements:

  • Ability to listen and speak on the telephone and write simultaneously
  • Ability to frequently and accurately communicate with employees, customers, and vendors in person, via the telephone, or by email
  • Ability to operate a telephone system, computer, and printer
  • Ability to lift and move up to 50 pounds on an occasional basis

Qualifications:

  • 2+ Years of experience working in an administrative role
  • Technologically savvy and able to learn new programs quickly and able to troubleshoot common issues
  • Demonstrated understanding and proficiency of PC platform and Windows OS including proficient use of Chrome as well as G-Suite products including G-mail, Google Calendar, Google Sheets, Google Docs, and G-Drive
  • Proficiency in and understanding of Microsoft Word and Excel and general internet skills
  • Proficiency in and understanding of social media and marketing programs such as, but not limited to: Canva, Vimeo, Facebook, Instagram, TikTok, Pinterest, etc.
  • Must have excellent attention to detail and high-level accuracy with Microsoft documents as well as Google documents
  • Flexible in daily routine; ability to prioritize and manage shifting responsibilities
  • Open to new ideas and systems
  • Must have a high level of interpersonal skills and ethical standards to handle sensitive and confidential information and interactions.
  • Demonstrated ability to work well in a team environment and collaborate with staff
  • Self-directed and resourceful with the ability to prioritize and manage multiple complex activities simultaneously
  • Demonstrated excellent communication, organizational, and time management skills; ability to keep a lot of detail/information highly organized
  • Effective interpersonal skills: Personable with superior customer service skills that exceed expectations and keep clients not only satisfied but happy
  • Ability to empathize and build relationships with a variety of personalities
  • Highly polished and professional verbal and written communication skills
  • Ability to shift gears quickly to accommodate new priorities and meet tight deadlines
  • Able to make quick and effective decisions, solve problems, as well as maintain confidentiality
  • Real estate license not required but a bonus if you have or are willing to obtain one.
  • Must have a reliable, well-maintained vehicle for occasional errands including (but not limited to) the post office, bank or financial institution, and Title company
  • Basic understanding of marketing funnels is required. Experience with Kajabi, Funnel Gorgeous, and/or Clickfunnels is desired.

Compensation: Hourly wage based on experience and skill set.  

Hours: The perfect team member would be available to work a consistent schedule in our Lake Mills office of approximately 20-30 hours per week. Additional in-office or remote hours may be available based on qualifications and interest in special projects.
